Job brief - Veterinary Assistant

 We are looking for a Veterinary Assistant to care for animals and support the Veterinarian at our animal hospital. You’ll play an important role in bringing comfort to our furry patients, their human parents and ensuring the smooth running of our facility.

 You need the ability to care for the animals properly – that’s one of the most important Vet Assistant job requirements. This includes knowledge of routine tasks, like feeding animals, but also readiness to care for injured or scared animals that might occasionally lash out. This includes restraining animals for examinations, vaccinations, treatments and diagnostics, etc. One of the most important Veterinary Assistant responsibilities is to ensure all areas are clean, for animals and humans alike.

 If you are organized, quick on your feet and have the stomach to help with medical procedures, x-rays and euthanasia, we’d like to meet you. In turn, we will give you on the job training and coaching to help you in advance in your career direction and growth.

 Responsibilities

  • Feed, groom and weigh animals
  • Clean cages and bathe animals
  • Sterilize equipment and clean examination tables and rooms
  • Restrain animals during examinations or vaccinations
  • Assist with medical operations, x-rays and euthanasia
  • Soothe upset or frightened animals
  • Prepare and administer medication prescribed by Veterinarians
  • Observe animal behavior or health condition and report to the Vet
  • Help in cases of emergencies
  • Handle administrative duties such as calling patients in the examination room by priority
  • Keep accurate records and logs like drug logs, x-ray logs etc.
  • Reassure clients that their pets are being cared for and explain issues (e.g. lack of appointments)
  • Advise pet owners on nutrition and healthcare

Requirements and skills

  • Excellent communication skills
  • Patient and caring personality
  • Ability to follow instructions properly
  • Comfortable being around animals (cats, dogs, pocket pets etc.)
  • Ability to meet the physical demands of the job (e.g., lift about 50 lbs)
  • Availability to work in emergencies
  • Min of High school diploma. A certificate from a Veterinary Assistant program is a plus
  • Proven experience as a Veterinary Assistant or similar position working with animals is a plus
  • Experience in an administrative role is a plus
  • Current or former pet ownership is an advantage

Job brief – Receptionist and Social Media enthusiast

We are looking for a receptionist + Social Media enthusiast to manage our front desk daily and to perform a variety of administrative, clerical and social media tasks.

 As a receptionist, you will be the first point of contact for our clinic. You will welcome guests who visit the business and contact the hospital. You will coordinate front-desk activities, including receiving phone calls, booking appointments and processing payments. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations to the highest quality standards. You will take charge of social media presence and build a strong and positive brand presence of our hospital in our community. You can be creative to make our reception welcoming and fun.

 This role may require working in shifts, so flexibility is a plus. However, we will make every reasonable effort to give you a fixed schedule that works for you.

 We are looking for a compassionate, professional and reliable team player with a pleasant personality who is customer oriented with excellent communications skills.

 Requirements and skills

  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Must keep calm under pressure, customer service attitude
  • Ability to manage multi-phone lines
  • Must be proficient and quick in data entry on MS office suite and similar database software
  • Solid written and verbal communication skills
  • Hands-on experience with office equipment (e.g., printers)
  • Professional attitude and appearance
  • Experience with AVImark is a plus
  • Proven work experience as a Receptionist, Front Office Representative or similar role is a plus
  • You must be comfortable with dogs (large and small) as well with cats

Responsibilities

  • Ensure reception area is tidy and presentable.
  • Greet and welcome guests as soon as they arrive at the office
  • Answer and screen phone calls, book appointments and update calendars
  • Provide follow up to customers and clients and provide basic and accurate information in-person and via phone/email
  • Issue invoices and take payments
  • Assist customer and clients to waiting room or exam rooms
  • Reassure clients that their pets are being cared for and involve vet assistant when necessary.
  • Maintain customer information up to date incl. pet history information
  • Provide front line sales
  • Assist with mail, e-mail and package deliveries
  • Order front office supplies and keep inventory of stock
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Set up and optimize company pages within each social media platform
  • Be creative to make our clinic reception look and feel welcoming and fun.
  • Take feedback from customer on their experience for enhancing customer service
